Sr. Administrative Specialist- HR

Position Summary:

This position supplies full scope of executive administrative assistance to the senior HR leaders for the Genetic Sciences and Clinical Next Generation Sequencing businesses for the Life Sciences Solutions Group (LSG) and project and program support to the Talent Management, Internal Communications and South San Francisco Site HR leaders. The successful candidate provides strong administrative talent, supporting business and South San Francisco Site initiatives, handling multiple projects simultaneously, and quickly learning about the procedures involved in the administration of plans. This position requires an individual with strong organizational, analytical, and administrative skills who can balance multiple priorities simultaneously. The ideal candidate is able to manage sensitive information and maintain confidentiality while interacting with multiple stakeholders across the business.

Key HR Support Responsibilities:

  • Organizes high-level meetings and domestic and international travel arrangements
  • Maintains executive calendars and travel schedules
  • Coordinates all divisional and Site HR meeting logistics, including: scheduling, invitations, document preparation, conference call set-up, catering, etc.
  • Supports creation of applicable materials for meetings
  • Works with leadership team to coordinate and execute on functional projects and special reports
  • Manages logistics for onsite activities and employee events, in support of a comprehensive site engagement strategy
  • Develops and modifies new and existing PowerPoint presentations, correspondence and data manipulation and reporting with spreadsheets
  • Handles sensitive information requiring a high degree of discretion and confidentiality
  • Prepares and reconciles travel expense reports
  • Maintains organizational charts, phone lists and files
  • Performs general office duties; maintains files, orders supplies
  • Completes all other position related duties as assigned or requested

Minimum Requirements/Qualifications:

  • Minimum of 5 years’ experience as an executive administrative assistant supporting senior executives in a large multi-national company
  • Experienced in supporting organizations based in multiple locations worldwide, and a globally dispersed team
  • Experience in HR or having supported projects in HR highly desirable
  • Experienced in managing multiple concurrent tasks, meeting rigid deadlines, and working independently
  • Demonstrated ability to partner with other administrative professionals in order to manage competing needs
  • Able to learn the HR teams’ primary business objectives, and through this understanding is able to anticipate administrative needs of the team
  • Basic understanding of business principles
  • Must present a high degree of professionalism in both written and verbal communication
  • Strong problem solving skills and reasoning to solve administrative issues
  • Customer/client focused
  • Able to handle confidential and sensitive material in a professional manner

Must Haves:

  • Associates Degree or equivalent combination of education and experience a plus; BS/BA preferred
  • Must be proficient in manipulating data, spreadsheets, presentation, & mail software such as MS Word, Excel, PowerPoint, Outlook, and general MS Windows operations
  • Excellent attention to detail and highly organized
  • Coordinating and executing on projects
  • Demonstrated ability to anticipate the needs of others
  • Exceptional written and oral communication skills
