What you will do

As an Executive Assistant, you'll be at the center of fast-paced growth, using your stellar office and project management skills to support three of our HR Center of Excellence Leaders. You’ll use discretion and diplomacy while working with stakeholders across the company, and your mastery of time management, logistics planning, organization, and attention to detail will rival professional planners. Another, yet most important responsibility will be flawless calendaring/travel planning. It’s essential the leaders get where they need to be with ease and on time. In addition you will:

  • Learn the primary business objectives for the HR Center of Excellence teams to anticipate support needs
  • Schedule and coordinate complex executive meetings, bringing together geographically dispersed teams, managing all logistics, document creation and distribution, and documenting and following up on action items
  • Ensure the VPs get where they need to be on time through planful meeting scheduling and arrangement of complex global, multi-city travel
  • Collaborate and build relationships to drive results in a global-matrixed organization experiencing change and transformation
  • Manage department budgets, including invoice processing/tracking and budget analysis
  • Utilize the full suite of Microsoft office products to prepare high quality correspondence, reports, and presentations
  • Manage content on department collaboration and intranet sites to ensure stakeholders have access to the most current information
  • Support staff on special projects, such as new hire orientation and benefits materials for new company acquisitions

How you’ll get here

  • Associates Degree or combination of education and experience (5 or more years); Bachelors degree preferred
  • 5+ years of executive assistant experience in a fast-paced, professional office environment – large organization preferred – with 2+ years providing direct VP-level or functional head support
  • Solid experience to independently identify, analyze, and solve problems with creative and successful solutions
  • Skilled and experienced in the art of organization and time management to juggle multiple priorities with competing deadlines
  • Demonstrated success being keenly tuned in to customers, managers, peers, and others for strong teamwork and relationships
  • Demonstrated experience in working independently to identify, analyze, and solve problems with creative solutions
  • High discretion with experience managing extremely sensitive/confidential information
  • Solid judgment, tact, and diplomacy skills in dealing with internal and external customers
