Job Title: Business Support Assistant II
Reports To: Purchasing & Business Support Team Leader

Day/Shift (if applicable): 37.5 hrs p/w 09:00 to 17:00hrs


Position Summary:

The Business Support Assistant will be the initial point of contact for all calls and visitors to FBS UK. Providing business and administrative support to the Purchasing & Business Support Team Leader, the office and the Senior Management Team, you will have responsibility for purchasing and procurement for FBS Bishops Stortford, ensuring credit control and invoice approval (as per the Finance Approval Matrix) is adhered to for all invoicing at FBS UK.


Key Responsibilities:

  • Receive and greet visitors in a polite, professional and friendly manner. Issue, retrieve and recycle visitor passes. Notify host employee of visitor arrival and show to meeting room as necessary
  • Ensure meeting rooms are kept clean and tidy
  • Answer, screen and redirect telephone calls, take messages and handle post
  • Attend Management Team Meetings to record, prepare and distribute minutes
  • General office administration and support to Senior Management Team as required including arrangement of on and off-site meetings and provide refreshments as required
  • Manage travel arrangements for the Management Team including itineraries and book taxi’s as required
  • Assist Purchasing & Business Support Team Leader with the credit control process
  • Purchasing and procurement of material, consumables and stationary supplies
  • Assist Purchasing & Business Support Team Leader appropriation requisitions process for higher value items
  • Manage the purchase order process for all purchasing at FBS Bishop’s Stortford
  • Assist Purchasing & Business Support Team Leader with review/cross reference of purchasing credit cards
  • Support Purchasing & Business Support Team Leader with invoicing processes
  • Maintain files for invoices/purchase orders
  • Assist Purchasing & Business Support Team Leader the CODA purchasing and invoicing process for FBS Bishop’s Stortford
  • Support supplier set up, ongoing relations and negotiation of preferential rates/prices
  • Maintain equipment files ensuring a copy of AR’s/PO’s are included
  • Process FBS Bishop’s Stortford pool car and any hire car bookings as required
  • Organise logistics for FBS Bishop’s Stortford exhibition and conference attendance
  • In response to business needs, be prepared to undertake any other duties outside the responsibilities listed

Minimum Requirements/Qualifications:

  • Good all round academic background
  • Previous experience in similar role
  • Ability to follow processes
  • Knowledge of administrative/business support activities
  • Customer Service Skills

Essential Skills / Experience:

  • Good client facing skills, friendly and professional
  • Excellent written and oral communication
  • Strong inter-personal skills
  • IT literate with excellent Microsoft Suite and Outlook skills
  • Excellent organisation skills with good attention to detail and the ability to prioritise
  • Able to work accurately and efficiently using own initiative
  • Ability to work under pressure and to multitask
  • Have a methodical approach
  • A good problem solver

Although not essential, the following skills and experience would be preferred:

  • Working within GMP working environments
