Thermo Fisher Scientific Group

Talent Management and Recruiting

This policy explains how we collect and process personal data that (i) you have submitted to us when applying with us, or (ii) we have obtained from other sources to ask you to participate in our recruitment process.

The Controller for the processing of your personal data is the entity of Thermo Fisher Scientific group companies that has advertised a specific vacancy and/or to which you have actively applied (“Thermo Fisher Scientific”, “we”, “us”). By "Thermo Fisher Scientific Group" we mean all companies affiliated with Thermo Fisher Scientific, Inc.; a list of these companies is available here.

Processing of Personal Data

In connection with the management and recruitment of talent we collect certain individually identifiable information about you (hereinafter "Personal Data"), such as your name, job history, employment experience, education, job skills, languages spoken, references and other information you provide on your application, during interviews (including online video interviews) or on your resume or curriculum vitae in order to process your application accordingly. The collection of such data is necessary to carry out the selection process and without this information we will be unable to proceed with it.

In some cases we obtained similar personal data also from publicly available sources (e.g. career platforms) and may ask you on this basis if you are interested in participating in an application process or one of our talent programs. Such collection is based on our legitimate interests in processing publicly available information as part of our search for suitable candidates for our job openings.

Recipients and Processors

For the processing of your data for application management and system administration purposes we use – due to Thermo Fisher Scientific's global operations – applications for centralized processing of data in the United States on servers operated by our parent company Thermo Fisher Scientific, Inc. or its processors (as indicated below).

In order to make the recruitment process more efficient, we use – usually via our parent company Thermo Fisher Scientific, Inc. - the services of authorized third party providers/platforms usually acting as processors on our behalf. For the German companies of Thermo Fisher Scientific group, this is only the Kenexa Brassring recruiting management platform (IBM Corp, Armonk, NY, USA). Other companies of Thermo Fisher Scientific group may use additional services (e.g. for online video interviews currently provided by Montage (Delafield, WI, USA), talent management services by Smashfly Technologies (Concord, MA USA) for non-executive applicants, talent management services by Dillistone Group Plc d/b/a FileFinder (London UK) for executive applicants as well as agency services of Candex Solutions Inc. (New York, NY, USA).

The aforementioned services help us to manage applications and to optimize the selection process at the Thermo Fisher Scientific group. During the use of these additional features or services we may provide further privacy related information or ask for your separate consent (e.g. for the services of Smashfly Technologies and FileFinder) to certain processing operations.

In order to safeguard our legitimate interest in the group-wide processing of applicant data (e.g. to inform other companies of the Thermo Fisher Scientific Group about suitable applicants for vacancies there), we may also transfer your data to other companies of the Thermo Fisher Scientific Group to the extent necessary.

Other connected processes

You may also be included on job campaign emails or requested to participate in surveys related to the recruitment process. Your participation in such campaigns or surveys is completely voluntary and we will ask for your prior consent. In any case, you will be provided the chance to opt-out from being involved in those procedures at any time.

Depending on the country you apply in, you might be subject to background and other verification checks. These will be conducted in accordance with applicable local laws and we will provide you with further information on the processing of your personal data when conducting these checks, if required.

We may process your data also for compliance with legal obligations to which we are subject. On the basis of your personal data, we may process aggregated or otherwise anonymized data for statistical purposes.

When involving entities outside the European Union we apply any necessary safeguards to provide for an adequate level of data protection (e.g. working with Privacy Shield certified suppliers and enacting the so-called Standard Contractual Clauses as issues by the European Commission). Upon request, we shall provide you with further information on how we ensure data protection with recipients of personal data in the individual case.

Retention of the data

After completing the selection process and following staffing the job we will keep storing your Personal Data for 24 months (in Germany 9 months). This period can be expanded if personal data need to be further processed (for example, because you have registered for our Job Alert or – in countries outside Germany – for our Talent Network). After this period of time we will delete your Personal Data automatically (usually within Kenexa Brassring or equivalent service where applicant data is centrally stored and processed). In any case, we will store your personal data only as long as necessary to fulfil the above mentioned purposes and/or as long as we are obliged under statutory law.
