Position overview:
This position provides full scope of executive administrative assistance to the Vice President Human Resources, Commercial Operations for the Life Sciences Solutions Group (LSG), and HR data support for reporting, tracking, and manipulating data. The successful candidate provides strong administrative support across the group’s initiatives, handling multiple projects simultaneously, and quickly learning about the procedures involved in the administration of projects and plans. This position requires an individual with strong organizational, analytical, and administrative skills who can balance multiple priorities simultaneously. Requires a love of data with hands on experience merging, integrating, pivoting and reviewing data through skilled use of applications such as Microsoft Excel as an analysis tool.

Key Commercial HR Administrative Support Responsibilities:

  • Organizes high-level meetings and complex domestic and international travel arrangements
  • Maintains executive calendars and travel schedules
  • Coordinates all meeting logistics including: scheduling, invitations, document preparation, conference call set-up, catering, etc.
  • Supports creation of applicable materials for meetings
  • Works with leadership team to coordinate and execute on functional projects and special reports, interfacing across a globally disperse and remote team
  • Coordinates meetings across multiple globally disperse timezones, and senior level stakeholders with competing priorities
  • Coordinates and schedules/manipulates multiple calendars simultaneously in a heavy volume and fast paced, every changing scheduling environment
  • Develops and modifies new and existing PowerPoint presentations, correspondence and data manipulation and reporting with spreadsheets
  • Handles sensitive information requiring a high degree of discretion and confidentiality
  • Prepares and reconciles travel expense reports
  • Maintains organizational charts, phone lists and files
  • Performs general office duties; maintains files, orders supplies
  • Completes all other position related duties as assigned or requested

Key HR Data Support Responsibilities:

  • Ability to import and export various reports from multiple systems and create, adapt and merge data elements
  • Experience creating pivot tables to effectively navigate through large amounts of data and to categorize, analyze, and segment as needed
  • Experience using Microsoft Excel to create tracking, reporting mechanisms for dashboards, budgets, planning, demonstrating a keen eye for details and the ability to troubleshoot and validate results
  • Proven experience extracting data and troubleshooting from HR and or financial systems such as WorkDay, Kenexa, Oracle, and integrating into one common file to further sort, edit, manipulate and run calculations for planning and reporting
  • Process mindset; has proven ability to map a process from end to end and seeks to automate or improve or enhance for efficiency

Minimum Requirements/Qualifications:

  • Minimum of 5 years’ experience as an executive administrative assistant supporting senior executives in a large company
  • Experienced in supporting organizations based in multiple locations worldwide, and a globally dispersed team
  • Experience in HR or having supported projects in HR and or Finance desirable
  • Attention to detail, exceptional sense of accuracy and data integrity in a fast paced environment
  • Experienced in managing multiple concurrent tasks, meeting rigid deadlines, and working independently
  • Demonstrated ability to partner with other administrative professionals in order to manage competing needs
  • Able to learn the executives’ primary business objectives, and through this understanding is able to anticipate administrative needs of the executives
  • Basic understanding of business principles
  • Must present a high degree of professionalism in both written and verbal communication
  • Strong problem solving skills and reasoning to solve administrative issues
  • Customer/client focused
  • Able to handle confidential material in a professional manner

Non-Negotiable Hiring Criteria:
Associates Degree or equivalent combination of education and experience a plus; BS/BA preferred

  • Must be proficient in manipulating data, spreadsheets, presentation, & mail software such as MS Word, Excel, PowerPoint, Outlook, and general MS Windows operations
  • Excellent attention to detail
  • Coordinating and executing on projects
  • Demonstrated ability to anticipate the needs of others
  • Exceptional written and oral communication skills
  • Proactive planning and project initiation, management
  • Strong follow through and sense of urgency around execution
