Job Description

Job Title: Receptionist Administrator
Reports To: Facilities Manager, Facilities
Group/Division: Thermo Fisher Scientific/BioServices Division

Position Location: Horsham, West Sussex
Number of Direct Reports: 0

Position Summary:

Provide a professional welcome as the first point of contact for clients and visitors to the site. You will manage the visitor book and detail security and Health and Safety arrangements for visitors with confidence. You will also be responsible for distribution of mail and the flow of correspondence as well as other clerical and administrative duties.

Key Responsibilities:
  • Answering calls and queries and directing them to an appropriate resolution
  • Greeting clients, customers, visitors and staff between the hours of 08:00 and 18:00.
  • Ordering stationery
  • Booking travel and hotels in line with local policies
  • Organising meeting rooms; catering requests and coordinate the delivery of the order
  • General administration and maintenance of spreadsheets and other trackers (with a focus on Facilities administration)
  • Compiling reports and updates on administrative projects
  • Maintain good housekeeping and promote a safe working environment
  • Undertake any other duties on an ad-hoc basis as required by your Line Manager

Minimum Requirements/Qualifications (Preferred but not essential):
  • Literacy-Documentation interpretation and understanding
  • Competent in use of diary management
  • Microsoft Office literate to a high standard
  • Possess exceptional interpersonal communication skills
  • Experience in a reception/administration role or similar role
  • Ability to work independently and as a member of a team
