Deputy Operations Manager (f/m)

At our site in Weil am Rhein, we are offering an impelling job opportunity as Deputy Operations Manager (f/m).
In this position you ensure all distribution orders are dispatched on time to agreed quality standards. For this purpose, the co-ordination of staff and resources must be checked and prioritised where necessary. Additionally, you ensure the planned manufacturing steps start to the scheduled date; this entails ensuring that documentation, equipment and materials are in place as per the agreed scheduled timelines.
In this position you will work in a multi-disciplinary environment and will be required to coordinate with all necessary departments, to ensure Safety, Quality, Cost and Delivery levels are maintained to the required standards.

Key Responsibilities:

  • Daily review of distribution schedule (distribution), and personnel available to ensure correct prioritisation between teams and order conditions, to ensure resource is correctly distributed between required areas to meet the business requirements.

  • Daily review of production schedule (operations) to ensure materials and documentation are in place and available to agreed dates to guarantee timely completion of production job steps.

  • Coordinates missing requirements with all departments involved, timely escalation of issues to the Head of Operations and where necessary concerned departments.

  • Weekly review of training records to ensure all staff are trained to acceptable levels as per the required GMP standards.

  • Supports investigations into Quality and Safety incidents, actively promotes the working to high standards for both areas.

  • Acts as deputy of Head of Operations during periods of absence. This will include delegated responsibility for the management of staff

  • Local approval of absence requests.

  • Participation and leading of the Tier 1 and Tier 2 stand up meetings, where necessary acting as a deputy for the Head of Operations.

  • Active participation in the identification, communication and resolution of process inefficiencies and improvement opportunities.

  • Participation in specific projects as directed by the Head of Operations.

  • Maintains internal communication boards to ensure all information is relevant and up to date, both for internal and external visitors.

Minimum Requirements & Qualifications:

  • Degree in logistics, supply chain planning or equivalent

  • Several years experience in a fast moving operations role, preferably in the pharmaceutical or similar industry, e.g. Shift manager or Planning role

  • 1- 2 years staff management experience in a multicultural / multidisciplinary environment

  • Fluency both written and spoken in German, Good command both written and spoken in English

  • MS Office, Excel, Word, Project

  • Experience with ERP systems (SAP, Oracle)

  • Process improvement experience

Supervisory Responsibility:

  • Authority to maintain both Quality and Safety standards

Additional Abilities and Skills:

  • Ability to work independently in a high volume multicultural environment.

  • Ability to work to defined timelines and where necessary prioritise effectively to ensure compliance.

  • Able to work as both a team member or individual maintaining good communication with both peers and colleagues.

  • Ability to independently solve problems.
