Attend to incoming telephone calls, forward calls to appropriate staff members, and accurately record and distribute messages when required staff members are unavailable in a professional and courteous manner. Warmly welcome clients and other visitors, determining their needs, and ensuring that these are met in an efficient and friendly manner including signing in/out procedures Maintain the front counter area in a tidy and neat manner and ensure that all information material is current. Co-coordinating the booking of meetings and assist in the coordination of ad-hoc company functions/events including catering. Responsible for the maintenance of office resources – ordering and delivering toners to the correct departments, ordering and maintaining office supplies (including stationery, tea, coffee, fruit and milk delivery). Responsible for the booking and safe secure storage of company resources such as NZ wireless cards. Ad hoc support for Talent Management, including update of the Learning Management System as required. Collect and distribute all incoming mail and courier items and prepare outgoing mail; also overnight and courier bags to other branches. Provide Administrative support for the Thermo Fisher Vehicle Fleet as required by the finance team. Assist in General Office administration including updating internal phone and address listings, org charts and PPI correspondence. Building Maintenance – record maintenance requests, liaise with contractors to organise required works, obtain approval from Management for works. Assist the customer experience team with issuing of RA and Paperwork to our customers Assist in any ad-hoc duties, projects and activities as and when required. Organise and take photos of staff for security id labels; business card and name badge orders.
